Position Overview
The Administrative Assistant plays a critical role in keeping our office running smoothly. You’ll work directly alongside our Operations, HR, and Billing teams to support day-to-day administrative functions including scheduling, data entry, phones, and communications. This is an in-office position — you’ll be a core part of our team, not a remote role.

Key Responsibilities
      ∙     Answer and direct incoming phone calls in a professional, friendly manner
      ∙     Perform accurate data entry and maintain organized electronic records
      ∙     Assist with caregiver and client scheduling coordination
      ∙     Support HR with onboarding paperwork, filing, and employee record maintenance
      ∙     Draft and send professional emails and correspondence on behalf of the team
      ∙     Manage office documents, forms, and filing systems (physical and digital)
      ∙     Assist with general administrative tasks as assigned by the Operations Manager or CEO
      ∙     Use AI tools (ChatGPT, etc.) to help draft communications, summarize information, or streamline workflows

Requirements
      ∙     Proficient in Microsoft Office Suite (Word, Excel, Outlook, Teams) — this is a must
      ∙     Strong phone presence — professional, clear, and personable
      ∙     Ability to write clear, professional emails independently
      ∙     Strong attention to detail and accuracy with data entry
      ∙     Highly organized with the ability to manage multiple tasks at once
      ∙     Dependable, punctual, and a team player
      ∙     Prior office or administrative experience preferred
      ∙     Experience in home care, healthcare, or a medical office is a plus but not required
      ∙     Familiarity with AI tools such as ChatGPT, Copilot, or similar — preferred
